This Privacy Policy explains how Preservation Network LLC ("we," "us," "our") collects, uses, and protects information when you use The Stamp Database (the "Service"). We take your privacy seriously.
1. Data We Collect
Information you provide: When you register for an account or API key, we collect your email address, username, and (optionally) your name and organization. We do not collect payment information directly; any paid services use third-party processors.
Usage data: When you use the Service, we automatically collect standard server log data including your IP address, browser type, the pages you visit, and the time of your request. This data is used for security monitoring, abuse prevention, and aggregate analytics.
API usage: If you use our API, we log your API key, request timestamps, endpoints queried, and response codes. This data is used for rate limiting, billing, and monitoring for abuse.
Cookies: We use essential session cookies to maintain your login state. We may use analytics cookies (with your consent) as described below.
2. How We Use Data
We use the data we collect to:
- Provide and operate the Service, including account management and API access
- Monitor for abuse, enforce our Terms of Service, and ensure security
- Send transactional emails (account confirmation, password reset, API key delivery)
- Send product and service updates (you may opt out at any time)
- Compile anonymized aggregate statistics about Service usage
- Improve the accuracy and completeness of our database
We do not sell your personal data to third parties. We do not use your data for advertising targeting.
3. Cookies and Analytics
We use the following types of cookies:
- Essential cookies: Required for the Service to function. These include session cookies that keep you logged in. You cannot opt out of essential cookies while using the Service.
- Analytics cookies: We may use privacy-respecting analytics tools (such as Plausible Analytics or self-hosted Matomo) to understand aggregate usage patterns. These tools do not track individuals across sites and do not share data with advertising networks.
You can disable cookies in your browser settings. Disabling essential cookies will prevent you from logging in.
4. Third Parties
We use a small number of trusted third-party services to operate the Service:
- Hetzner Online GmbH: Our server infrastructure is hosted in Germany and the US. Hetzner processes server logs on our behalf.
- Email delivery: We use a transactional email provider to send account emails. Your email address is shared with this provider solely for message delivery.
- Payment processing: If you purchase API access, payment is processed by a third-party processor (such as Stripe). We do not receive or store your card details.
We do not embed third-party trackers, social media pixels, or advertising scripts on our pages.
5. Data Retention
We retain your account data for as long as your account is active. Server logs are retained for up to 90 days for security purposes and then deleted. API usage logs are retained for up to 12 months.
If you delete your account, we will delete or anonymize your personal data within 30 days, except where retention is required by law.
6. Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access: Request a copy of the personal data we hold about you
- Correction: Request correction of inaccurate personal data
- Deletion: Request deletion of your account and associated personal data
- Objection: Object to our processing of your data for marketing purposes
- Portability: Request your data in a machine-readable format

7. Security
We implement industry-standard security measures to protect your data, including encrypted connections (HTTPS), hashed password storage, and access controls on our servers. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
8. Children's Privacy
The Service is not directed to children under 13. We do not knowingly collect personal data from children under 13. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
9. Changes to This Policy
We may update this Privacy Policy periodically. We will update the "Last updated" date at the top of this page when we do. Significant changes will be communicated to registered users by email.
